Upload your price list and FAQ

Give the receptionist the documents it answers from, check what it learned, and keep them current.

  • About 10 minutes
  • No technical skills needed
  • For: Owners and office managers on Receptionist or Pro

Before you start, have these ready

  • Your price list, FAQ, or service guide as a PDF, or as text you can paste
  • Your dashboard sign-in
  1. Step 1: Gather what callers ask about

Think of the last ten questions you answered on the phone. Prices, call-out fees, service area, warranty, payment methods, and how soon you can come are the usual ones.

    Tip

A one-page document that answers those ten questions is worth more than a fifty-page manual.

  2. Step 2: Write prices as ranges

Where the price depends on the job, write a range and what affects it. For example: "Diagnostic visit, $129 to $179 depending on distance."

The receptionist states the range and says the technician confirms the exact price on site.

  3. Step 3: Open Knowledge and add your document

Sign in and open Knowledge. Upload a PDF, paste text, or enter the address of a page on your website.

    What you should see

Your document in the list, first as processing and then as ready.

  4. Step 4: Put your core facts in the business profile

Hours, service area, services, and policies belong in your business profile, not only in a document. The profile is what it checks first.

  5. Step 5: List what it must never say

Add anything you do not want promised, such as same-day service or a price for a job you only quote in person.

  6. Step 6: Test with a call or a chat

Use the test call in your dashboard. Ask three questions your document answers and one it does not.

    What you should see

Three correct answers, and for the fourth, an offer to have the team confirm.

  7. Step 7: Replace documents when prices change

When your prices change, upload the new document and remove the old one, so there is only one answer to find.

    Important

Do not upload anything with customer names, account details, or records in it. The receptionist only needs what you would tell any caller.

This guide was written for the beta. If a screen is named a little differently from what you see, the steps still apply in the same order.

Hear it answer your business

Upload your price list to the demo and talk to it in under a minute, or set up Ringhero in about 15 minutes and call your own number.
