Requests get logged. Only true emergencies wake anyone up.
Tenants report maintenance issues with the unit, the problem, and entry permission. After hours, routine requests wait for the office and emergencies go to on-call.
Example calls
The three calls that matter
These are illustrations of how the template behaves. Your own wording, prices, and promises come from your profile and playbook.
Burst pipe in a unit
- CallerA pipe burst under my bathroom sink and water is going everywhere.
- AI receptionistIf you can, shut off the water valve under the sink or the main valve. I'm alerting the on-call contact now. Which building and unit are you in?
Shut-off advice, then an urgent alert to on-call
Routine request after hours
- CallerMy dishwasher stopped working. It's 11 at night, sorry.
- AI receptionistNo problem, I'll log it now and the office will follow up next business day. Do we have permission to enter if you're not home?
Logged for the next business day
Rental inquiry
- CallerIs the two-bedroom still available? Do you take people on assistance?
- AI receptionistI can share what's in the listing and take your details. Questions about applications go to the office, and they'll go through that with you. When are you hoping to move in?
Name, number, and move-in date captured

Emergency triggers
What gets escalated
Triggers are fixed rules, checked through the whole call. When it is unsure, it treats the call as an emergency. You can add triggers of your own.
- Flooding or a burst pipe
- If you can, shut off the main water valve.
- No heat in winter
- Flagged as urgent and sent to your on-call contact straight away.
- Gas smell
- Please leave the building now and call your gas utility or 911 from outside.
- Fire or smoke
- The caller is told to call 911, and your on-call contact is alerted.
- Sewage backup
- Flagged as urgent and sent to your on-call contact straight away.
- Broken exterior door or window
- Flagged as urgent and sent to your on-call contact straight away.
- Lockout
- Handled according to your lockout policy.
Ringhero is not an emergency service. It gives the scripted line and alerts the contacts you name.
What it will never do
- Ask or answer screening questions such as family status or source of income
- Discuss who qualifies for a unit. That goes to the office.
- Discuss another tenant
- Give legal advice about a lease or a tenancy dispute
- Take a rent payment over the phone
Property management questions, answered
How does it decide what can wait until morning?
Your emergency list decides. Anything on it is escalated at any hour. Everything else is logged, and the tenant is told the office will follow up next business day.
Are maintenance logs timestamped?
Yes. Each call record has the time, the unit, the issue, and what the tenant was told.
We manage several buildings. Does that work?
You can list your properties so the receptionist can match a caller to a building. Done-for-you setup for multiple buildings has its own setup fee.
Hear it answer your business
Upload your price list to the demo and talk to it in under a minute, or set up Ringhero in about 15 minutes and call your own number.
