Quick start: live in about 15 minutes

Go from signing up to a receptionist that answers your forwarded calls. Nine short steps, in the same order as the setup wizard.

  • About 15 minutes
  • No technical skills needed
  • For: Owners and office managers setting up for the first time

Before you start, have these ready

  • Your business hours and the towns you serve
  • A price list or FAQ, as a PDF or as text you can paste
  • The cell number of whoever should get emergency alerts
  • The phone that owns your business number
  1. Step 1: Enter your business basics

Sign up and type your business name the way you want callers to hear it. Pick your country so the receptionist uses the right emergency number.

    What you should see

Your business name at the top of the setup wizard.

  2. Step 2: Pick the template for your trade

Choose Trades, Property management, or General receptionist. The template fills in the reasons people call, the details to collect, and the emergency triggers.

You can change any of it later.

    What you should see

A list of reasons for calling that look like your real calls.

  3. Step 3: Add your services, hours, and service area

List what you do, when you are open, and where you work. Add price ranges if you want the receptionist to share them. It only ever states the ranges you enter.

    Tip

List the services you do not offer as well. It saves the caller and your team a wasted callback.

  4. Step 4: Upload your price list or FAQ

Add a PDF, paste text, or give a page from your website. This is where the receptionist finds answers to less common questions.

    What you should see

Your document in the knowledge list, marked as ready.

  5. Step 5: Add your escalation contacts

Enter the cell number that should get urgent alerts, and the number for live transfers if your plan includes them. Use a phone that is on at night if you want after-hours emergencies.

    Keep these current

Emergency alerts go to the numbers you enter here. If someone leaves or changes their number, update it the same day.

  6. Step 6: Choose a voice

Listen to the samples and pick the voice and pace that fit your business.

  7. Step 7: Make a test call in your browser

Press the test call button and allow the microphone. Ask about your hours, ask for a price, and say that you smell gas. Then ask whether it is a robot.

    What you should see

A greeting that names your business and says it is an AI assistant, and a safety line as soon as you mention gas.

  8. Step 8: Pick a plan

Choose Text-back, Receptionist, or Pro. Each starts with a 14-day free trial. If you are unsure, the calculator on the pricing page shows which costs least for your call volume.

  9. Step 9: Get your number and forward your calls

You are given a private Ringhero number. Callers never see it. Follow the forwarding guide for your phone company, then call your business number from another phone and let it ring.

    What you should see

The Connect your phone screen turns green and says forwarding works, and a summary arrives by text about a minute after you hang up.

This guide was written for the beta. If a screen is named a little differently from what you see, the steps still apply in the same order.

Hear it answer your business

Upload your price list to the demo and talk to it in under a minute, or set up Ringhero in about 15 minutes and call your own number.
