Product · AI voice receptionist

The phone gets answered. You stay on the job.

Ringhero picks up the calls you cannot, follows the playbook for your trade, and tells a real emergency from a quote request.

What it does on every call

    • Answers in under two rings

Day, night, weekends, and holidays, in a natural voice that lets the caller interrupt.

    • Knows your business

Services, service area, hours, price ranges, and policies come from your profile and the documents you upload.

    • Collects what your team needs

Each reason for calling has required details. It asks one question at a time and confirms them back.

    • Escalates real emergencies

Safety line first, then an urgent alert to your on-call contact. Live transfer is available on Pro.

    • Handles difficult callers

It stays calm with a frustrated caller, gives a warning to an abusive one, and keeps sales calls short.

    • Works with the number you have

Call forwarding is a feature of your phone company, so it works with mobile, landline, and office phone systems.

    Keep your number

Three ways to forward your calls

You get one private receptionist number. Your phone company forwards calls to it. Nothing about your public number changes.

    • Overflow

      Recommended

Your phone rings first. If you are busy, do not answer after about 20 seconds, or your phone is off, the call goes to the receptionist.

Suits: Owner-operators on a cell phone

    • After hours

Calls forward only outside business hours. Some carriers can schedule this. Otherwise you switch forwarding on at close and off at open.

Suits: Offices with a front desk

    • Always

Every call goes to the receptionist. Your office gets the summaries and the transfers.

Suits: Businesses that want it as the front line

    Difficult calls

Calm when the caller is not

How it responds depends on the state of the caller, and the rules are written down.

    1. CallerThis is ridiculous. Put a real person on. Now.
    2. AI receptionistI understand. I can transfer you to the office during business hours, or take a message so a person calls you back. Which do you prefer?
    Frustrated
Names the feeling once, skips the pleasantries, and moves quickly to action.
    Angry, but on topic
Keeps a low, slow tone, does not apologize for things it does not know, and offers escalation early.
    Abusive
Gives a warning, then ends the call politely if it continues and flags it in the summary. If an emergency is detected it never hangs up.
    Confused or unsure
Slows down, uses simpler words, confirms details again, and offers a callback from a person.
    Sales or spam
Takes the company name, says it will pass that along, and ends the call.

    Limits

    What it will never do

    • Place an outbound call. It is inbound only.
    • Take a payment or a card number over the phone.
    • Invent a price, a time slot, or a policy.
    • Give medical, legal, or insurance advice.
    • Troubleshoot a hazard. It gives the safety line and escalates.
    • Confirm an appointment time. It captures the preferred window and your team confirms.

    Planned next

These are not available yet. We label them so you can plan around them.

    • Calendar booking

      On the roadmap

Booking into Google Calendar first, then Jobber and Housecall Pro. Today it captures the preferred window and your team confirms.

    • Bilingual English and French

      On the roadmap

One number that answers in either language. Planned as a $29 per month add-on.

    • CRM integrations and webhooks

      On the roadmap

Sending each call summary to the tools you already use.

    Voice questions, answered

Do callers know they are talking to an AI?

Yes. The greeting says so on every call, and it answers honestly if asked. This cannot be turned off.

    Are calls recorded?

Calls are transcribed, not recorded as audio. The greeting tells every caller the call is transcribed, right after it says it is an AI. Transcripts are deleted after 90 days; the call summary stays.

What if my minutes run out?

It still answers and takes a message. It never drops a call because of a limit.

What if something fails during a call?

Every lookup has a time limit and a spoken fallback. If the receptionist cannot load your settings at all, it falls back to taking a message.

    Hear it answer your business

Upload your price list to the demo and talk to it in under a minute, or set up Ringhero in about 15 minutes and call your own number.
