Appointment requests taken. Results never read out.
The receptionist takes appointment requests and messages so the front desk can stay with the patient in front of them. It does not touch records.
Example calls
The three calls that matter
These are illustrations of how the template behaves. Your own wording, prices, and promises come from your profile and playbook.
Medical emergency
- CallerMy husband is having chest pain and I don't know what to do.
- AI receptionistPlease hang up and call 911 now. I'm letting the clinic know that you called.
Told to call 911, then the clinic is alerted
Appointment request
- CallerI need to book a cleaning, ideally on a Friday.
- AI receptionistI'll pass that to the front desk and they'll confirm the time with you. Are you a new or a returning patient?
Request captured. The office confirms the time.
Asking for results
- CallerCan you tell me if my test results are in?
- AI receptionistI can't access or read out results, but I can have the office call you about them. What's the best number to reach you?

Emergency triggers
What gets escalated
Triggers are fixed rules, checked through the whole call. When it is unsure, it treats the call as an emergency. You can add triggers of your own.
- Chest pain, collapse, or trouble breathing
- The caller is told to call 911, and your on-call contact is alerted.
- Fire or smoke
- The caller is told to call 911, and your on-call contact is alerted.
- Safety threat
- The caller is told to call 911, and your on-call contact is alerted.
- Gas smell
- Please leave the building now and call your gas utility or 911 from outside.
Ringhero is not an emergency service. It gives the scripted line and alerts the contacts you name.
What it will never do
- Confirm an appointment time. Your office confirms it.
- Read out results, records, or account details
- Promise insurance coverage
- Give medical, legal, or financial advice
- Take a card number over the phone
